Job Title: Executive Assistant to Regional Leader
Location: Nairobi, Kenya

Qualifications, Knowledge, Skills and Experience:
  • Provide executive support to the Regional Leader including scheduling of meetings and conference calls, note/ minute taking and dissemination of minutes from meetings and calls.
  • Organize calendar and appointments for the Regional Leader's effective time management
  • Provide administrative support to Regional Leader for events held off-site. These include but are not limited to meetings, workshops, and forums.
  • Coordinate logistics requirements for various meetings held at offices.
  • Provide administrative support to the Regional office. This includes but is not limited to filing, printing, binding, scanning, faxing, and making and receiving sensitive calls.
  • Receive documents delivered to the office, ensuring that these are distributed to respective addressee and organize the dispatch of cheque, mail and courier packages.
  • In liaison with the Administration Officer Logistics, oversee visitor's management for office site. This includes arranging visitors' pickups from hotels, and ensuring World Vision's values are integrated in managing the office.
  • Coordinate with East Africa Regional Office (EARO) security, front office and switchboard to ensure the right organizational image and appropriate attention to calls and visitors
  • Ensure availability of office supplies including coordination of Purchase Requisition Forms (PRF's) in EARO office for effective supplies management.
  • Develop, set up, and document office secretarial systems related to: filing of documents, records management, communications (email, fax, and correspondence).
  • Exercise of diplomacy and being the 'face' of the region and any other duties as assigned.
